All prices are based on current tariffs at the time of publication and are subject to change without any prior notice. All rates are Gross, unless otherwise specified. The company expressly reserves the right to adjust the prices in accordance with supplier increases. Currency fluctuations or tariff adjustments.
RESERVATIONS AND PAYMENTS:
A deposit of 50% of the tour cost must be made on confirmation of your reservation. Final payment must be received at least 45 days prior to departure by Bank Transfer/Bankers Draft to African Trotter Ltd. If reservations are made less than 30 days before commencement, full payment is required at time of booking. In default of payment by the due date, the operator reserves the right to cancel the reservation and apply the appropriate cancellation charges. Tickets bookings and reservations will only be negotiated by African Trotter Ltd on payment of a deposit which will be accepted in part payment of the total cost incurred by clients, but receipt of a deposit does not constitute acceptance of any booking. In the event of any travel service canceling any arrangement made on behalf of a client African Trotter Ltd will only be liable to refund the amount of the monies paid by the client to them subject to a deduction for such sums if any as the travel services may be entitled to be paid.No personal cheques will be accepted
All prices are based on bank transfer and cash only and if paying by credit card, sur-charges will apply. Please contact our reservations office at the time of booking.Booking less than $500, only cash dollars are acceptable.If any charges are incurred doing a payment e.g. for special clearance etc this will be borne by the client/travel agent.
Twin sharing rooms are provided throughout the tour, with private bath shower. Single rooms available at an extra supplement. However single rooms and rooms with private bath are not guaranteed due to scarcity of rooms. Hotel/ Lodge/Camps named in publication of African Trotter Ltd serve only as an indication of the standard of accommodation that will be offered to the customer when on holiday. African Trotter Ltd will not be bound to offer the exact Hotel/Lodge/Camp as appearing in their publications. African Trotter Ltd are not carriers or keepers of inns, hotels, refreshment, boarding or Lodging houses. The company will arrange tickets, bookings and reservations only as agents for their clients, who accept the same subject to these terms and conditions and those of each of the concerns (hereinafter called the travel services) with whom it may make arrangements for its clients.The accommodation we arrange for you must only be used by those people named on the voucher. You are not allowed to share the accommodation or let anyone else stay there.
Safari minibuses, safari cruises, saloon cars, four wheel drive vehicles or coaches will be provided according to the route and number of passengers. However, African Trotter Ltd shall not under any circumstances be liable to make any payment to its customers in respect of or to indemnify them against any loss injury or damages sustained by the customers or by any third party as a result of any defect in the said vehicles whether such defect was caused by or through or due to the negligence of owners or their agents or servants or however caused. It is expressly declared and understood that African Trotter Ltd does not make any representation as to the safety or road worthiness of any such vehicles nor shall it be liable for loss damage, or injury of whatever kind, whenever and wherever occurring and however and by whomsoever caused to any customer traveling in any such vehicles.
CANCELLATION AND REFUNDS:-
The following scale of charges will apply when cancellation is notified within 30 days of tour commencement date. In the event of cancellation, notice of which must be given in writing, the deposit may be refunded after deducting the charges of other companies such as transportation, hotels and lodges etc.

On cancellation there is a non-refundable fee of USD 35 per booking for period other than above.
LATE BOOKINGS AND AMENDMENT FEE:-
There is an amendment fee of $ 45 for every change in your holiday plans.
On late bookings ( made within one week of departure) a non-refundable fee of $ 55 will be charged.
No refund will be considered for cancellation after the tour has commenced or in respect of any tours, accommodation, ground arrangement or any other services not utilized.
Customers are requested to take out insurance for cancellation, health, accident and baggage during and before the commencement of the tour.
African Trotter LTD reserve the right to modify any arrangements required by or made on behalf of clients and to cancel the same without notice.African Trotter LTD act only as an agent for various companies represented in the safari or tours, and they assume no responsibility for liability in connection with the service of any hotel or conveyance. African Trotter Ltd may in its sole discretion change or cancel holiday in any circumstances without notice. No compensation for changes or cancellations shall be payable if the same are due to war threat or war, riots, civil disturbances, terrorist activity, industrial disputes, natural nuclear, disasters, fire, epidemics or health risks, technical problems with transport, closed or congested airports or ports and similar events beyond its control. African Trotter Ltd is not responsible for lost tickets, coupons or adverse weather conditions and reserves the right to cancel or alter the itinerary prior to the date of departure and its liability shall be limited to where an alternative itinerary is provided, no such refund will be made. The company's ability is governed by the respective laws of the country in which the tour takes place and no other country or claims are subject to jurisdiction of the courts of the country in which the cause of action arises only for passengers carried in its own vehicles. African Trotter Ltd reserves the right to employ contractors to carry out all or part of services provided subject to these terms & conditions. Baggage and personal effects are carried at owner's risk. African Trotter Ltd (both for themselves and on behalf of their servants & agents) do not accept any responsibility for any act or omission, default or neglect of themselves, their servants and agents or of the servants and agents of the travel services for injury, damage or loss to persons or goods whatsoever and howsoever the same may be caused: and they do not warrant and are in no way responsible for the accuracy of any information given or statement made by their servants and agents or those given or made by the travel services of the servants and agents.
The airlines are not liable for any act, omission or event during the time passengers are not on board their planes or conveyance. The passengers' tickets in use by the airline or by other carriers concerned when issued shall constitute the sole contract between the airlines and the Purchaser of these tickets and/or passengers.
African Trotter Ltd shall be entitled at any time to change the published hotels, camp dates and itinerary subject to prevailing conditions and unforeseen circumstances. The company reserves the right to modify any arrangements required by or made on behalf of clients and to cancel the same without notice. The company does not hold itself responsible or liable for delays prior to departure or of during the course of any holiday, whether brought about by technical difficulties, strikes, whether conditions, fire, flood, industrial dispute, riot, civil commotion, change in fiscal policy, unforeseen contingency, inevitable accident act of God or other cause beyond company's control. Any resultant expense will borne by the customer and any saving will be refunded to the customer.
Free allowance granted by domestic airlines is 15 kgs per person including one piece of hand luggage. We recommend soft, hold-all type of luggage.
It is entirely the responsibility of passengers to ensure that he or she is correctly documented with regard to passport, visas and any other documents required by country to be visited. The company shall not be responsible for any inconveniences, loss or expense incurred by passenger through reason of his being incorrectly documented.
HEALTH AND INOCULATIONS:-
Where health documents are necessary to comply with the requirements of any country, you may wish to visit, then it is your responsibility to procure them. If failure to do so, results in fines or penalties we shall not be responsible. Therefore, you must ensure specific health precautions are complied with.
It is strongly recommended that you reconfirm your onward flights without going carrier at least 72 hours prior to departure. Failure to do so may result in the cancellation of your reservation.
Original vouchers must be carried at all times otherwise African Trotter Ltd will not be responsible for services not provided. All documents must be picked from our offices in Nairobi only. If outside Nairobi, this will be sent subject to confirmation by client/agent where the extra charges will be borne by the client/agent (e.g. DHL/Express services).
Representative names are usually given with itinerary/voucher if applicable. In case of any problems our representative must be contacted however due to some circumstance if the client needs to pay for services such as transfers, original receipts must be kept for claim for any refunds. Without original receipts claims will not be entertained.
If a problem arises during your holiday, it is necessary to immediately contact the supplier/representative/hotel concerned/hire company/tour leader who will endeavour to put things right on the spot. Most problems are solved this way. You are provided with a questionnaire to complete. It is unreasonable to complain on your return home if you have not given the supplier the chance to rectify your complaint on the spot.Do write to us if you feel that your complaint has not been dealt with satisfactorily. We need to investigate your complaint and may take some time. The complaint must be made within 14 days of your return after which it will not be entertained.If any dispute arising out of any provisions contained in these terms and conditions, decision of African Trotter Ltd shall be binding and final on all the clients.
